IntelliTrack Inc. is now shipping wireless (RF) versions of its widely used Data Management Software (DMS) software. Businesses and government use DMS to track assets and inventory in a wide variety of situations. There are more than 12,000 existing installations of its Data Management Software (DMS) product line. DMS-RF uses an Access database, a portable wireless terminal, and bar code labels or radio tags (RFID) to track the location, count and status of physical items such as product inventory, capital assets, people, packages, files, and laboratory specimens.
“With DMS-RF you can turn any of our batch applications into RF instantly. No longer do you have to upload and download data, you can inquire or change information instantly,” said IntelliTrack President James Budniakiewicz. DMS-RF is available as four product modules: Inventory, Stockroom, Fixed Assets and Check In Check Out, depending on the user’s requirements.
“Using Inventory DMS-RF, companies can take physical inventories in real time. In the past, you did a list of current inventory, broke out the report, handed it to people to physically count and mark on a piece of paper, and the warehouse manager or clerk had to enter the counts on a system to reconcile. This took a long time and was labor intensive. Sometimes you had to do a repeat count because of item mismatches, mis-keying the data, or miscounting. Now what you have is a portable accessing the inventory database real time, with DMS-RF Inventory you scan the item, you scan the location, you enter the count, and you get a message if the count does not match. You can adjust the count, or re-enter, or search for more items,” explained Budniakiewicz.
“This is an extremely large savings for any operation that must take physical inventory. For example, a fire department needs to account for its inventory at the end of each day. They need to know what equipment the have and what they have expended. They lose equipment during fires, so they need to replace it quickly. Large retail stores have to shut down on weekends and pay people overtime just to take physicals. Now they can do it in half the time. Inventory DMS-RF has an access database. So the user can load their inventory data into the database, and perform a physical count, in real time, using a wireless data terminal,” said Ron Pawlowski, IntelliTrack’s director of professional services.
Stockroom DMS-RF provides the same capabilities as Inventory, plus the user can receive and issue inventory. Whereas Inventory DMS-RF provides a snapshot at a single point in time, Stockroom DMS-RF allows the user to update and adjust inventory levels to reflect ongoing operations, and it also records a history of receipt and issue operations.
Fixed Assets DMS-RF manages capital assets. Fixed Assets allow monitoring of an asset maintenance schedule and calculates depreciation. “The beauty of going RF, instead of having to download a database of assets to a portable, now you can take a notebook computer put it on the table, and then walk around with a wireless scanner to count assets. You have true mobility now," said Budniakiewicz. “A county school board might have to go to multiple schools to take asset counts. Fixed Assets DMS-RF would allow them to do that in the shortest possible time, using the wireless networks in the schools, or using an ad hoc network between the hand held terminal and the laptop computer.”
Check In Check Out DMS-RF has all the capabilities of Stockroom DMS-RF, plus it has the ability to track assets that are loaned and then returned, such as library books, uniforms, sports equipment, notebook computers, audio visual equipment, lab equipment, and tools. Pawlowski described the advantages of RF technology, “You can have a check in check out station anywhere. You can move the point of activity to the most convenient place, for instance, to a closet down the hall from your office, or any location in a rental yard.”
